Job Description

AIR is searching for an experienced and highly-motivated Finance and Operations Manager to support and manage financial, operational, and administrative activities. We are a fast-growing organization currently with about 15 people and expected to grow to 25 people by next year.

The Finance and Operations Manager will report to the Executive Director and will provide day to day support of AIR’s operations, financials, and policies.

The Finance and Operations Manager will actively cultivate collaboration with our diverse stakeholders, including donor organizations and government agencies. This will include creating and tracking outcome metrics to solidify and build grant funding relationships.



⏵ Track and manage invoices (staff, contractors, and vendors)

⏵ Review and approve employee and contractor expense reports

⏵ Facilitate payroll including tracking and monitoring federal, state, and local tax requirements and reporting

⏵ Manage accountants and auditors, lead the annual audit as well as preparation and filing of the 990 tax returns


⏵ Provide ongoing management of budgets and forecasts

⏵ Work with the Executive Director to formulate near and long-term financial strategies, budgets, and strategic and operational objectives

Grant Funding Management

⏵ Participate in the creation of budgets and budget narratives for grant applications

⏵ Prepare monthly grant disbursement and manage the appropriate documentation.

⏵ Maintain an annual calendar of follow ups for multiple grant requirements

⏵ Prepare appropriate monthly, quarterly, annual reports as required by funders

⏵ Manage funder audits


⏵ Work with the leadership team to develop and update AIR’s operations policies and InfoSec requirements

⏵ Provide ongoing, routine management of accounting, payroll, retirement, and finance vendors

⏵ Ensure all operations are carried on in an appropriate, cost-effective way

⏵ Track vendor responsibilities and costs; flag for management when needed


⏵ Manage the execution and documentation of organizational procurement

⏵ Identifies viable third party solutions

⏵ Interface with project leads to research, document, options; manage vendor and contractor selection

⏵ Work with the Executive Director to solicit board approvals for purchases over a specified threshold


⏵ Background in finance and operations, ideally 2+ years experience

⏵ Experience tracking expenses and preparing budgets

⏵ Experience working in a high-performance, collaborative peer group

⏵ Excellent skills in Excel, extremely comfortable with numbers

⏵ Experience with Quickbooks,, Expensify

⏵ Experience with Federal grants and particularly Payment Management System (PMS)

⏵ Working knowledge of IT/Business/InfoSec infrastructure

⏵ Minimum of a BA or equivalent, ideally in Finance or Business Administration
